Legislative Services
Whether voting in the municipal election, wondering about historical or current records of Stony Plain, inquiring about a Council decision or submitting a request under the FOIP Act. in some context, almost every citizen of Stony Plain has - or will have - the customer service support of the Town's Legislative Services office.
Legislative Services acts as a liaison between the community and Town Council. It is responsible for all regulatory functions and services related to Council, the Senior Leadership Team, all Town departments and staff and external stakeholders - including the public. Many of the functions performed are statutory duties sanctioned by the Province.
The Legislative Services unit provides custody and maintenance of all Town bylaws and policies; prepares agendas for Council meetings and records Council decisions; collects and documents demographic information; conducts municipal elections and the municipal census; manages requests and processes concerning the Freedom of Information and Privacy Act; coordinates and maintains the Town's records management system; and provides other required legislative services.
Taxpayers, elected officials and departmental staff throughout the organization rely on the diverse support services delivered by Legislative Services.
Who We Are
The primary role of Legislative Services is to perform duties set out in provincial legislation, including the Alberta Municipal Government Act, the Local Authorities Elections Act, the Freedom of Information and Protection of Privacy Act and other legislation. The unit provides support to Council and all Town departments regarding statutory and regulatory functions, as sanctioned by the Province in many ways.
The functions of the Legislative office can cross Town departmental areas. A good example is its records management services. In compliance with the Alberta Municipal Government Act, certain records have to be permanently maintained; others need to be kept only for a certain period of time to fulfill specific legal and fiscal obligations. Administration stores and inventories inactive records and ensures that requirements governing the destruction and retention of records are met.

What We Do
- Prepare agendas for Council meetings
- Record Council decisions at Council meetings and public hearings (minutes)
- Provide custody and maintenance of bylaws and policies
- Maintain corporate records (Records Management)
- Conduct municipal censuses
- Organize municipal elections
- Acts as FOIP coordinator, including receiving and administering all access/privacy requests;
- Works with department Directors to provide legal coordination of municipal activities, in conjunction with the Town's solicitor
- Commissioner for Oaths services
